What You’ll Do as a Construction Virtual Assistant

We’re actively hiring construction virtual assistants who can help our clients streamline their operations and stay on top of demanding schedules. Depending on the role, your responsibilities may include:

  • Preparing bids, estimates, and proposals for construction projects — including material takeoffs, cost breakdowns, OST measurements, RFI drafting, and change order preparation when needed.
  • Managing project schedules, subcontractor coordination, and documentation — updating timelines, tracking milestones, organizing job-site files, assisting with punchlists, and supporting basic AutoCAD markups or plan revisions.
  • Handling email, calendar, and client communications — coordinating meetings, managing follow-ups, sending RFI responses, updating stakeholders, and keeping communication organized.
  • Supporting financial tasks like invoicing, reporting, and bookkeeping — including A/P, A/R, reconciliations, expense tracking, job costing, and preparing financial reports.
  • Assisting contractors with time-consuming admin work so they can focus on building — such as document control, CRM updates, file organization, and daily operational support.
  • Supporting construction marketing tasks — helping with social media scheduling, content coordination, email campaigns, website updates, and other digital marketing activities for contractors.

Who We’re Looking For

Our construction virtual assistant hiring process focuses on finding motivated individuals who are organized, detail-oriented, and eager to support the construction industry.
